About the role
We are looking for a proactive and highly autonomous Business Operations Assistant who can take ownership of tasks, figure things out independently, and turn unspecified requests into clear, completed results.
This role is not about simply following instructions or maintaining a to-do list. You will work closely with company leadership, help remove operational workload from C-level executives, coordinate different people and processes, research information, organize projects and events, and solve day-to-day business problems.
We are looking for someone who naturally asks, “What needs to be done to achieve the best result?” rather than simply, “What exactly should I do?”
Your area of responsibility
Provide proactive operational and administrative support to the CEO.
Take ownership of tasks from an initial idea or request through to the final result, without requiring step-by-step instructions.
Collect requirements, clarify missing information, and independently gather the context needed to solve a task.
Research information, compare possible solutions, and provide well-grounded recommendations rather than simply finding the first available answer.
Coordinate people, vendors, and internal stakeholders to ensure tasks and projects are completed on time.
Manage business correspondence, documentation and information using Google Workspace and other digital tools.
Support procurement and logistics, including working with suppliers, deliveries, equipment, gifts and other operational needs.
Look for ways to simplify, automate and improve everyday processes and workflows.
Use AI and other digital tools to make research, communication, documentation, and routine tasks more efficient.
Anticipate potential issues, dependencies, and follow-up actions and address them before they become problems.
Skills and requirements
3+ years of experience in an assistant, operations, coordination, administration, or similar role.
Strong ownership and autonomy: you are comfortable working with an outcome rather than a detailed set of instructions.
Ability to turn an unspecified request into a clear action plan and drive it through to completion.
Strong problem-solving and critical-thinking skills: you look for the best way to solve a problem, not just the most obvious one.
Resourcefulness: when you don’t know something, you know how to find the answer, identify the right resources, or involve the right people.
High learning agility and no fear of unfamiliar tools, technologies, or tasks.
Strong organizational skills and attention to detail, with the ability to manage multiple priorities and follow through on commitments.
Excellent communication skills and confidence working with people at different levels, including C-level executives.
Nice to have
A helicopter view: you understand how your actions can affect other people, processes and areas of the business.
Good command of English (B1+ or higher) for communication, documentation, and independent research.
