Why this role exists
As a company grows, the number of processes, teams and dependencies grows with it.
Without the right systems, information gets scattered, processes become harder to follow, and teams spend time solving the same problems repeatedly.
Your mission is to turn business requirements into clear, scalable and intuitive systems that make the company easier to operate.
You’ll work directly with the Head of Product, translating strategic requirements into practical Notion workspaces, workflows, databases, documentation and automations.
You won’t simply maintain Notion.
You’ll help build the operational infrastructure the company runs on.
What You’ll Own
Owning the structure, administration, maintenance and continuous improvement of the company’s Notion workspace.
Designing scalable databases, dashboards and operational systems from scratch using relations, rollups, formulas, templates, views, permissions and advanced database logic.
Translating business requirements and the Head of Product’s direction into practical Notion systems, workflows and automations.
Collecting requirements from Product, CRM, HR, Marketing, Operations and other teams and turning them into clear system specifications.
Building interconnected systems for Product Development, Project Operations, CRM, HR, documentation and other business functions.
Mapping and improving business processes, including responsibilities, statuses, dependencies, approvals, handovers and escalation flows.
Creating integrations, notifications and automated workflows between Notion, Slack, CircleBack, ChatGPT, AI agents, meeting tools and other company services.
Validating solutions with the Head of Product and relevant stakeholders before implementation.
Maintaining workspace consistency across naming conventions, properties, views, permissions, ownership, dependencies, instructions and information quality.
Creating clear documentation, process guides, field descriptions and user instructions.
Auditing existing workflows to identify bottlenecks, duplicated work and opportunities for automation.
Supporting adoption by training team members, collecting feedback and improving systems based on real usage.
Taking ownership of additional Product and Operations initiatives where structure, coordination or process development is required.
