We’re looking for a strong administrative leader and Business Assistant to Deputy CEO who takes full ownership of organizational, administrative, and personal tasks. We’re looking for someone with a “task solved” mindset". Someone who doesn’t stop at the first obstacle, takes initiative, finds solutions, and makes sure things actually get done.
🎯 Your main goal
Take full ownership of the administrative, organizational, and day-to-day operational needs of the Deputy CEO and the office, allowing the Deputy CEO to stay focused on strategic priorities rather than operational details.
What you’ll be responsible for
Office & locations — managing office selection, relocations, procurement, and setup. Your result: offices operate smoothly and relocations happen without disruption.
Administrative team management — leading Office Managers, cleaning and other support staff. Your result: a clean, fully equipped, comfortable office and a well-organized administrative team.
Budget & reporting — overseeing administrative payments and expenses. Your result: accurate and transparent monthly reporting for the Deputy CEO with full control over spending.
Travel & conferences — managing flights, hotels, transfers, schedules, and logistics. Your result: the executive and team get where they need to be, on time and without unnecessary complications.
Personal Assistance — handling personal and business-related requests from the Deputy CEO, including tasks of varying complexity.
What we’re looking for
2+ years of experience as a Business Assistant, Executive Assistant, Head of Administration, Operations Manager, or in a similar role.
Team management experience — you have managed junior administrative or support staff, such as Office Managers, cleaning teams, or service providers.
Strong organizational and financial skills — confident with budgeting, expense management, financial reporting, and working with numbers.
Strong ownership and results orientation — you don’t stop at “they didn’t respond” or “they said no.” You look for alternatives, find other vendors, identify decision-makers, and keep pushing until the task is solved.
Proactive approach — when a problem arises, you don’t come to the executive asking “What should I do?” You come with a solution, options, and a clear recommendation.
High level of responsibility and attention to detail — you keep track of multiple priorities and make sure nothing falls through the cracks.
Ability to work independently in a fast-paced environment where priorities can change quickly.
