We’re looking for a Business Operations Manager to own the operating discipline across Windmill’s business support functions. You’ll make sure Legal, HR, Finance, Administration, Helpdesk and Security have clear processes, owners, controls and reporting — and that work spanning those functions gets driven through to completion.
What you’ll do
Control and measure operations: take a systematic look at how work moves through the company today, find where it stalls, and as necessary put clear, repeatable processes in place. Ensure we have the right people and a single operational rhythm (syncs, reporting, forecasting) so the state of the business is transparent to everyone and nothing gets dropped
Coordinate across departments: keep all teams aligned and moving together, and step in as project manager to push a cross-functional task through when it needs a single owner
Drive automation: cut manual, repetitive work across functions with AI tools and automation: hands-on for the simple cases, briefing a developer for anything that needs building
What we’re looking for
5+ years in a similar operations/coordination role — preferably in IT, product delivery, or a services company
Proven experience designing, documenting and implementing company-wide operational processes — not simply administering existing ones
Experience defining operational KPIs, management reporting and regular operating reviews so leadership has a reliable view of business performance and risks
Comfortable stepping in as project manager when a cross-functional initiative needs an owner
Strong follow-through: comfortable establishing owners and deadlines, challenging missed commitments and escalating when necessary
Comfortable overseeing a finance team’s output — reading reports and models, challenging assumptions, and spotting when the numbers are off
Hands-on experience with contractors and vendors: onboarding, contracts, and payments
Understanding of operational security controls, particularly access management, permissions and secure employee/contractor onboarding and offboarding
Hands-on experience using AI and no-code/low-code automation to improve operational workflows — for example automating information capture, approvals, reporting, document processing or hand-offs between systems
High discretion and reliability — the role sits close to the CEO and handles sensitive legal, financial, and personnel matters
Fluent English (B2/C1) — for day-to-day work with international clients and contractors
Strong interpersonal and negotiation skills; able to hold colleagues and suppliers accountable while maintaining effective working relationships
