We’re looking for a Grants & Analysis Coordinator to work as an extension of me on grant applications, tender submissions, and the financial analysis behind them. This is a hands-on execution role — you own the mechanics of putting together strong submission packages (writing, numbers, diligence, formatting), while I set direction and make the final calls.
A large part of the work involves using Claude (and other AI tools) as a productivity multiplier: drafting first-pass narratives, structuring business cases, stress-testing financials, and turning messy source material into polished deliverables. You should be genuinely fluent with AI-assisted workflows — not just curious about them.
What You’ll Do
Grant & tender submissions Prepare complete submission packages across EU/international grants, government tenders, and corporate/private grant programs. Own end-to-end assembly: eligibility screening, narrative drafting, budget tables, annexes, compliance checklists, and on-time submission.
Business cases & financial estimates Build business cases, cost-benefit models, ROI estimates, and budget justifications in Excel. Translate strategy into defensible numbers.
Financial stats & analysis Pull, clean, and analyze financial data; prepare summary statistics, variance analyses, and reporting for both internal use and inclusion in submissions.
Due diligence Run background checks on funding calls, counterparties, and requirements. Flag risks, hidden constraints, unusual clauses, and eligibility gaps early.
AI-assisted drafting with Claude Use Claude as a working partner to generate first drafts, restructure content, summarize source material, produce financial narratives, and QA submissions against RFP requirements. You’ll be expected to build reusable prompts, projects, and workflows.
Documentation & knowledge base Maintain a clean library of past submissions, templates, reference budgets, and lessons learned so each new bid starts from a stronger baseline.
Coordination Manage timelines, chase inputs from subject-matter experts, and keep the submission calendar under control.
Must-Have Experience
3–6 years in grants, tenders, bid management, financial analysis, or a closely related role (management consulting, PMO, business analyst, or public-sector funding advisory all count).
Proven track record of grant or tender submissions you personally drove — ideally at least one you can walk through in detail, including what won or lost it.
Strong Excel skills — comfortable with financial modeling, pivot tables, complex formulas (INDEX/MATCH, XLOOKUP, SUMIFS), scenario analysis, and clean model layout. Google Sheets equivalent is fine.
Familiarity with grant and tender documentation structures such as EU Horizon / cohesion funds, national/regional grant calls, public procurement tenders, or private foundation grant frameworks. You know what a work package, deliverable, WBS, or logframe looks like.
Business writing in English at C1 level minimum, written and spoken — you can write clearly for a technical, non-native reviewer audience without extensive rewriting.
AI/Claude fluency — already using Claude, ChatGPT, or equivalent as a daily working tool. Able to describe specific prompts, projects, or workflows you’ve built, and to judge where AI output is trustworthy versus where it needs verification.
Strong attention to detail — the kind of person who catches the mismatched budget total, the missing annex, and the eligibility footnote everyone else skipped.
Nice to Have
An additional working language relevant to the submission market (e.g., Ukrainian, German, French, Polish).
Experience with EU funding portals (Funding & Tenders Portal, SEDIA) or national e-procurement systems.
Basic familiarity with SQL, Python/pandas, or Power BI for larger data pulls.
Prior experience working with a founder, executive, or small team as a force multiplier, rather than within a large process.
